Everfield Education ("Everfield", "we", "us") provides school administration software, including the Suffah student information system. This policy explains what personal information we handle, why, and the choices available. We follow the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy law.
For information inside a school's system (students, families, staff, marks, attendance), the School decides what is collected and why; Everfield processes it on the School's behalf to provide the Service. For information you give us directly (for example, through the demo request form on this site), Everfield is the responsible organization.
To operate the Service for Schools: registers, report cards, communication with families, payment collection, support, and security. We also use aggregate, de-identified information to improve the Service. We do not sell personal information, and we do not use student data for advertising.
Some drafting features (such as report comment assistance) send limited context to an AI provider (Anthropic) to generate a draft a teacher then edits. Generations are logged for accountability. AI output is never sent to families without a staff member reviewing and saving it.
Data is hosted with reputable cloud providers (including Supabase and Vercel) and email is delivered through Resend; payments are processed by Stripe. These providers process data under their own security and privacy commitments. Some providers store data outside Canada; we choose providers with strong safeguards.
Access is controlled by per-role permissions and row-level security; staff sign-in uses two-factor authentication; changes to records are logged in an audit trail; data is encrypted in transit.
School records are retained while the School uses the Service and per the School's own retention obligations (for example, Ontario student record rules). Schools may request export or deletion of their data when they leave.
You may request access to or correction of your personal information. For information inside a school's system, contact the School first — it controls those records; we will assist the School in responding. For anything else, contact us directly.
The Service uses only cookies necessary to sign you in and remember preferences such as your language. This marketing site sets no advertising or analytics cookies.
Student information is provided to the Service by Schools and parents or guardians, not collected from children directly. Family portal accounts belong to adults.
